Mission

It is the mission of the Palm Beach Atlantic University Risk Management Office to support the University to efficiently and properly identify, manage, and mitigate risks; seek to reduce the frequency, severity, and associated costs of claims; and serve as a resource for the health, safety, and well-being of the employees and students through effective training, communication, and assistance.

Adobe Sign is the authorized e-signature service for PBAU events if there is a requirement for digitally signed waivers that will need to be completed in advance of, or on the day of, the event. Certificate of Insurance

CERTIFICATE OF INSURANCE REQUIREMENTS

OUTGOING COI: PBAU typically provides a COI when we contract with a third party for some service to our benefit. The most common examples include PBAU's use of off-campus facilities for graduation or other events or affiliation agreements that allow our institution to place students in internships, and other educational experiences. PBAU's originator of the contract or the generating department coordinating the event should request the COI from the Risk Management Office.

VENDOR COI: As a general rule, PBAU requests and obtains a Certificate of Insurance (COI) when third party groups rent or use our facilities; render services to PBAU of a type that warrants a COI (such as transportation, campus events involving physical activities, animals, minors on campus, summer camps, and the like), and certain professional activities that carry a high degree of care (like construction, certain professional services, environmental clean-up, etc.). The requested certificate serves to document that the other party to the contract has the appropriate and required insurance policies and limits and, when requested, that the third party has added PBAU to the other party’s insurance policies as an Additional Insured. The vendor COI should be reviewed by the Risk Management Office prior to finalizing the event/service on campus.

Events Approval

As part of our ongoing commitment to ensuring the safety and well-being of all individuals attending events sponsored by the university, we would like to remind everyone of the importance of contacting the Risk Management Office before proceeding with the coordinating of special recreational activities. This will allow our office to assess the event's specific needs and provide guidance on safety measures, insurance requirements, and other necessary precautions. Therefore, we ask that you please note the following protocols that are in place for all university events:
  1. Our office plays a crucial role in assessing and managing potential risks associated with these events, so it is essential that we are notified of any event programs that include but are not limited to the following factors:
  • Participation by Minors
  • Renting/Use of Inflatables or Other Amusements (water inflatables are not permitted)
  • Athletic Activity/Competition
  • Animals
  • Open Flame Activity or Other Fire Hazards
  • Preparation/Distribution/Vending of Perishable Goods (e. g., Food Trucks, Bake Sales, Charity Drives, etc.)
  • Use of balloons must be non-latex
  1. ​​All third-party vendors associated with the event must provide a certificate of insurance (COI) that will need to be approved by our office. All contracts associated with the event will require the approval of the University Counsel as well.
     
  2. Please contact our office at least 30 days in advance to ensure the timely approval of the event.

Workers' Compensation

Workers' Compensation Procedure

  1. Report work-related injury or illness immediately to Risk Management and contact your supervisor.
  2. Complete Worker’s Compensation Packet and return to Risk Management
  3. Determine whether medical care is needed and whether a WC claim will be filed.
  4. If WC claim is filed, employee with an injury should visit an approved Urgent Care and take the completed WC packet with them. 
  5. Send documentation from Urgent care to Risk management.
  6. If emergency and visit to urgent care is done prior to completion of WC documentation, then contact Risk management during visit or immediately after. Let the urgent care know that this is a Workers Comp claim and do not pay out of pocket or use personal insurance.
  7. WC adjuster will be in touch with employee to discuss further care and work restrictions.  
  8. Supervisor and HR need to be aware of work restrictions.

Background Screening

Level II Background Screening for LLC and Third-Party Camps

  • There is a requirement that camp owner's and/or operators receive a Level II background screening in the state of Florida. Statute 409.175, 435
  • All employees and volunteers of the camp must also have a Level II background screening, including any minors. 
  • PBA Coaches that hold camps at PBA are considered by PBA as a camp owner and/or operator and their status as a coach at PBA is not relevant to this process.
